Job Summary

T he Accounts Payable Specialist is responsible for the accurate and timely processing of vendor and intercompany invoices, payment requests, account reconciliations, and issue resolution activities. This role ensures invoices and payments are processed according to company policies, compliance requirements, and established payment terms.

 

Job Description

  • Process third-party and intercompany invoices accurately and efficiently.
  • Verify invoice details, resolve discrepancies, and enter invoice information into financial systems.
  • Review vendor accounts and perform statement audits to ensure accuracy.
  • Investigate and resolve payment issues, invoice exceptions, and account discrepancies.
  • Prepare and organize documents for electronic imaging, filing, and record retention.
  • Review and process check requests, refund requests, and supporting documentation.
  • Ensure payments are completed according to established payment terms and compliance standards.
  • Respond to vendor inquiries, phone calls, emails, and internal requests with timely resolutions.
  • Research account information and provide accurate updates to internal and external stakeholders.
  • Monitor vendor accounts, review credit balances, and coordinate refunds when applicable.
  • Support vendor setup and maintenance activities, including W-9 documentation and 1099 reporting processes.
  • Manage incoming and outgoing mail and maintain organized financial records.
  • Assist with special projects and process improvement initiatives as assigned.
  • Maintain confidentiality when handling financial, vendor, and company information.
  • Follow all company policies, procedures, and compliance requirements.
  • Schedule:  Monday - Friday 8AM - 5PM(EST)  Work From Home  Blue Flex
  • Must live within commuting distance of Florence, KY office.

Preferred Qualifications & Experience

  • 3 years of accounts payable experience preferred.
  • Experience with financial systems such as Oracle and AS400/BPCS preferred.
  • Experience with vendor management, reconciliations, and payment processing.
  • Knowledge of tax documentation processes, including W-9 and 1099 requirements.
  • Experience supporting process improvements or financial projects.

 

Education

  • High school diploma or GED required
  • Associate or Bachelor’s degree in Accounting, Finance, or related field preferred.

 

Pay Rate

  • $52,000 - $65,000(Compensation will be offered based on experience, skills, and market factors)
