The Payroll Specialist will play a critical role in ensuring the accuracy and integrity of payroll and financial operations. This position blends payroll administration with broader finance and HR support, serving as a trusted partner across departments. The ideal candidate is highly detail-oriented, organized, and committed to maintaining confidentiality while supporting a mission-focused environment.
Job Description The Payroll Specialist is responsible for the accurate and timely execution of payroll processing and related financial operations. This role supports bi-weekly payroll, benefits and leave administration, HRIS maintenance, accounts payable, and financial recordkeeping while ensuring compliance with all applicable regulations.
Key Responsibilities include: - Process bi-weekly payroll accurately and on time using ADP Workforce Now
- Maintain payroll records including earnings, deductions, taxes, garnishments, and direct deposits
- Ensure compliance with federal, state, and local payroll laws and regulations
- Manage payroll changes such as new hires, terminations, compensation updates, and leave adjustments
- Audit payroll data, resolve discrepancies, and prepare payroll-related reports
- Administer payroll and benefits systems, maintaining data integrity across HRIS platforms
- Coordinate benefit deductions, vendor reporting, and invoice reconciliations
- Support employee inquiries related to payroll, deductions, and benefits
- Assist with open enrollment, life event changes, and benefits communications
- Administer employee leaves of absence, including FMLA, state leave programs, ADA accommodations, and parental leave
- Track leave records and coordinate payroll and benefits adjustments related to leave
- Support accounts payable processes including invoice coding, entry, and payment processing
- Assist with bookkeeping, reconciliations, and financial record maintenance
- Contribute to month-end and year-end close processes and audit preparation
- Support onboarding and offboarding activities, including payroll setup and HRIS updates
- Maintain employee records and assist with HR reporting and compliance documentation
- Ensure confidentiality and proper documentation of payroll, financial, and employee records
- Identify and implement process improvements across payroll and finance workflows
Qualifications Required Qualifications: - 5+ years of experience in payroll processing, finance operations, or related roles
- Hands-on experience with payroll systems (ADP Workforce Now strongly preferred)
- Strong knowledge of payroll practices, tax regulations, and wage and hour laws
- High attention to detail with a strong commitment to accuracy
- Ability to handle confidential information with discretion and professionalism
- Strong organizational, analytical, and problem-solving skills
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- Proficiency in Microsoft Excel and payroll/financial systems
- Strong communication and customer service skills
- Ability to work both independently and collaboratively
Preferred Qualifications: - Experience supporting accounts payable, reconciliations, or transactional accounting
- Experience administering HRIS systems and employee benefits programs
- Experience with leave management (FMLA, ADA, state programs)
- Background in nonprofit or mission-driven organizations
- Associate degree in Accounting, Finance, Business, or a related field (or equivalent experience)
- Certified Payroll Professional (CPP) or similar certification
